Position Summary

The primary responsibility of this role is to review and manage meeting and office space requests, ensuring efficient reservations across multiple locations. The candidate will coordinate with various offices to confirm availability, secure reservations, and oversee both virtual and hybrid events. Key duties include processing reservation requests, maintaining accurate records in Magnet, communicating details to stakeholders, assisting with setup as needed, and resolving any reservation issues. Additionally, this role involves planning, scheduling, and managing the technical aspects of virtual and hybrid meetings that require subject matter expertise, advising hosts on optimal technology solutions, and collaborating with teams to support all logistical needs. Responsibilities include producing live virtual and hybrid events, as well as managing post-meeting activities such as generating reservation reports, handling recordings, and compiling event metrics and analytics.

Success in this role relies on exceptional organizational skills, keen attention to detail, and the ability to juggle multiple tasks to ensure flawless event logistics. A client-focused, consultative, and solutions-oriented mindset, paired with strong collaboration skills, is essential.

Manages executive-level, high-profile, and client events that may involve sensitive or confidential information, demanding a high degree of discretion, strong event management capabilities, and excellent communication skills.

Responsibilities:

Supports the intake and initial assessment of meeting requests, ensuring a thorough understanding of meeting goals, objectives, and requirements, with particular emphasis on the technical aspects of planning and execution. Engages in consultative discussions for all live, virtual, and hybrid meeting requests to determine facilitation or production needs based on complexity and desired outcomes.

Demonstrates advanced scheduling expertise, requiring frequent interaction and communication with local office teams and clients.

Provides expert guidance on technology solutions, advising meeting hosts on the most effective options to achieve their objectives using available applications and equipment.

Supports aspects of event logistical planning, including securing event space, arranging in-room A/V and technology needs, and coordinating with onsite team members for live and hybrid events.

Leverages advanced video conferencing and A/V skills to produce high-quality hybrid and virtual meeting experiences, including video framing, high-definition sharing, and meeting technical requirements.

Fosters strong collaboration, communication, and relationship management with support teams and meeting hosts to ensure seamless event execution.

Maintains in-depth knowledge of Deloitte meeting technologies and equipment (e.g., Zoom, Teams, Neat Board, Polycom Studio,etc.) to provide effective advice and day-of support.

Handles post-event activities, such as assessing event success and delivering post-meeting reports, recordings, and analytics.

Contributes to the development of best practices and offers insights to inform future technology strategies and deployments.

Performs other job-related duties as assigned.

Required Qualifications:

  • Minimum 2 years of relevant work experience
  • High school Diploma
  • Must be legally authorized to work in the United States without the need for employer sponsorship now or at any time in the future

Preferred Qualifications:

  • Associate degree, preferred.
  • Strong technical skills including experience with Microsoft Office, productivity software, and other computer applications
  • Proficient in using, configuring, and troubleshooting video conference and collaboration technology (e.g. Zoom) to support virtual/hybrid meetings
  • Experience with event management and/or scheduling software

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At Deloitte, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $40600 to $74900
