Position Summary:
The Senior Administrative Assistant (Client Site) provides administrative support services for a group of Partners, Principals, and Managing Directors (PPMDs) assigned to a specific client engagement team. This position requires excellent customer service skills, a high degree of self-confidence and professional presence, a high level of discretion and diplomacy, the ability to understand and adapt to client business needs, excellent time and project management skills, and flexibility to work overtime as required. This position is based on-site at the client location in Washington DC and the Senior Administrative Assistant will work alongside the Deloitte engagement team also co-located at the client location. The individual will also attend meetings and events in the local Deloitte office as appropriate and will be part of the overall administrative services team.
Expected administrative activities include time and expense management, calendar management, travel arrangements, project and meeting coordination, research, and coverage for other team members as needed. The position will also provide some project and operational services such as onboarding new team members to the engagement and interacting with client support resources (e.g., IT, Security, administrative support) and will act as an overall resource for the engagement team.
Your Responsibilities (not limited to the following):
- Deliver exceptional administrative support and customer service for internal PPMDs; adapt methods and behaviors to effectively engage and accommodate client styles and preferences, including providing in-person engagement and onsite support as needed.
- Provide Outlook email and calendar support on behalf of PPMDs. Monitor and respond to email based on PPMDs’ preferences and communication style. Coordinate and schedule meetings, including identifying and resolving scheduling conflicts.
- Proactively manage PPMDs’ domestic and international travel needs in accordance with firm policy, understanding client travel needs and preferences.
- Manage time and expense activities to proactively research, enter and submit on behalf of PPMDs.
- Compose and edit documents and collaborate with appropriate business services teams as needed to format, edit, proofread, and coordinate printing for presentations, proposals, and other client deliverables according to Deloitte brand standards.
- Accurately and proactively assess requirements for each project/request and produce superior work in a fast-paced environment, meeting deadlines and expectations for quality. Always communicate effectively with requestors and service providers, addressing questions or issues promptly and professionally. Effectively negotiate deadlines when necessary and communicate changes to manage expectations.
- Coordinate work with other local and national resource teams virtually and in person. Have an expert understanding of Deloitte’s network of business support services in order to delegate work requests and partner with other local and national teams as appropriate to deliver work efficiently.
- Coordinate with client resources as needed to schedule meetings, reserve space onsite, manage Deloitte access to the client space, and comply with client security protocols.
- Build positive and productive relationships with PPMDs and engagement teams, administrative leaders and peers, and Deloitte professionals in all businesses at all levels.
- On a regular basis, manage sensitive and confidential information appropriately and with a high level of discretion.
Required expertise:
- Experience that demonstrates strong communication and organizational skills, and the ability to work in a team environment.
- Ability to learn and apply advanced MS Office knowledge, as well as variety of internal custom business applications.
- Excellent verbal and written communication skills with knowledge of proper grammar, punctuation, and spelling.
- Preferred experience supporting executives in a large/matrixed corporate environment, relevant customer service experience, or any relevant educational background.
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or any time in the future.
