Position Summary

The PMO Operations has a key part to play in overall IT project management and governance of UKITS by providing leadership, coordination and management of PMO processes and functions. This includes working closely with client team in establishing, implementing, developing and managing best practices for IT project management throughout the organization. The IT PMO Lead will also play a critical role in defining all policies and processes of project lifecycles to ensure delivery of these projects according to plan and within budget and in creating formal methodologies for defining project key performance metrics and allocation of resources. Further Lead will have to ensure that the CIO and Senior Leadership Team are equipped with accurate financial and project status information in order that they can make informed decisions about the delivery of the project portfolio.



• Ensure that the scope, goals, and deliverables of IT projects support business goals in collaboration with senior management.

• Define project success criteria and disseminate them to involved parties throughout project lifecycle.

• Effectively communicate and manage expectations of PMO to project managers, owners, sponsors, team members, and other stakeholders in a clear and concise fashion.

• Manage consolidated view for all IT projects including milestones/deliverables.

• Determine frequency and content of status reports from project managers, analyze results, and troubleshoot problem areas/mitigate project risks.

• Effectively provide resource management support to ensure projects are completed on-time, on-budget.

• Develop and communicate best practices, techniques, and tools for project planning, execution, project management, ongoing milestone/deliverable tracking, communication, and key performance metrics.

• Implementing and supporting continuous service improvements to the project management community

• Coach, mentor, motivate, and supervise new project teams and contractors, and influence them to take positive action and accountability for their assigned work.

Other responsibilities will include

• Management of the project set-up & closure process, including SAP code administration & updating key PMO control documents

• Ensure periodic production of weekly CIO and SLT reports and resource related reports

• Portfolio Review Board Support - production of resource related reports for the Board pack

• Ensure production of the weekly and monthly finance schedules and dashboards

• Creation of financial burndown charts on project spend

• Creation of supplier dashboard reports (e.g. cost per supplier per month/year, PO lead times, average invoice landing time to enable cost forecasting & staged payments etc.) using information from the consolidated purchase order register

• Cost center & rate card administration

• Tracking of the contingency budget on a project

• Creation of new finance and resource management reports as and when they are requested for other members of the PMO and senior management

• Updating PM templates with agreed changes as a result of continuous improvement reviews


• Deputise for the Portfolio Office Manager, Resource Manager and the Programme & Project Analysts in the event of their absence


  Requisite Core Skills:

• 8+ years of Experience in developing and deploying project best practices, policies, procedures, and processes

• Excellent leadership, management, facilitation, and problem-solving skills

• Proven track record of anticipating emerging issues, implementing innovative solutions leading to improved efficiency, quality, cost, and productivity

• Excellent interpersonal and communication skills and proven ability to work effectively with all organizational levels

• Ability to work with cross-functional global teams.

• Experience at working both independently and in a team-oriented, collaborative environment is essential

• Project management qualification including PMP or PRINCE2 practitioner will be an added advantage

Technical Skill Required:

• Intermediate/Advanced MS Excel experience; intermediate PPT experience.

• Intermediate level use of MS Project, PowerPoint, Visio, Word and SharePoint

Good to have skills:

• Experience in ServiceNow ITBM & ITSM modules is an advantage.

• Experience working with team members in offshore and onshore locations

Academic qualification: Bachelor or Master’s degree preferably in computer science
