Work You’ll Do
As an Office Services Specialist, your primary role will be to support the day-to-day operations team to help provide a full-range of other business services in support of our Deloitte professionals, clients, and guests that align with and play to your strengths in customer support. In addition to providing dynamic office and administrative support, you may also coordinate work of others through monitoring an assignment queue, distributing work and/or performing quality checks, work with the other members of the team to ensure daily operations are running smoothly and support the needs of the office, proactively supporting our customers. In sum, you are responsible for fostering a positive, collaborative work environment and effectively leveraging resources without compromising quality.
As an Office Services Specialist at Deloitte your responsibilities will include:
- Manages day-to-day office service operations which may include hoteling services, catering, business services (mail, copy, processing), building and equipment maintenance, physical security, facility inspections and meeting space.
- Monitors and coordinates the work of the office support staff providing varied office assistance to the department. Maintains a close and highly responsive relationship to both department office support staff and other managerial and professional staff.
- Effectively managing requests by assessing needs, securing all necessary details, negotiating deadlines, and communicating with customers to manage expectations
- Monitors many of the operating costs of office, such as supplies, maintenance contracts, etc.
- Manages relationships with outside vendors, such as building management, caterers, maintenance workers, space management vendors, move vendors, etc.
- Adding value through critical thinking and anticipating needs to support quality deliverables and for effective management of critical time-periods and high work volume
- Managing and fostering relationships with the team, customers and leadership, to ensure appropriate planning for incoming work
- Ensuring quality work product through effective execution of established guidelines and procedures; reviewing work product for quality, accuracy, and alignment with customer request
- Participate in cross utilization within all One Team areas; provide back-up, as necessary, to team for all daily responsibilities during scheduled and unscheduled breaks and PTO
- Back up for main reception; duties to include greeting visitors, answering phones
- Assist with meeting services including catering setup/teardown, room configuration and AV
- Provide hoteling support -- making reservations (offices, workstations, and conference rooms) and assist with video conference room; maintain workspace and common areas
- Process, sort and distribute incoming/outgoing mail, process certified mail; receive and check in packages, notifying recipients; ship packages; inventory and stock supplies; assist with in-house copying and printing.
- Maintain a sense of urgency and respond to and follow-up on all requests in a timely and efficient manner
- Perform other tasks and special projects as required or as assigned by management team
The Operations Team
At Deloitte, the internal operations team provides a full-range of hospitality and business services. We help our Deloitte professionals with daily office support needs, meeting and event planning and execution, and an array of other services related to office operations and facility management. Our team members work collaboratively and apply their specialized knowledge and skills to think proactively to provide a holistic customer-centric “experience” for our Deloitte professionals, clients, and guests.
What You’ll Need
- Minimum of 3 years of related office support experience in a service-oriented or customer-centric environment
- High school diploma
- Strong technical skills, including proficiency in Microsoft Office
- Strong written and verbal communication/interpersonal skills
- Ability to maintain confidential information
- Exceptional time management and organizational skills
- Critical thinking, decision-making, and conflict resolution skills
- Effective problem-solving and negotiation skills
- Willingness to be cross-trained in other office support service areas for back-up support and assume additional responsibilities/projects when necessary and as appropriate
- Availability to work overtime and weekends both during peak tax filing periods and as otherwise occasionally needed
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future.

This compensation range is specific to California and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At Deloitte, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $49,010 to -$81,860.
