Work you’ll do
The Meeting Coordinator will be responsible for assisting the national planning team with a primary focus on Deloitte University meetings and special events. There will be development opportunities to provide planning assistance on meetings, manage special projects and create and drive new processes for the Meeting & Event Services (MES) Team.
Responsibilities include:
- Collaborate and consult with Meeting Sponsors, Meeting Planners, Deloitte University Operations, and the BHI team to determine appropriate activities that meet the objectives and meeting needs to execute successful events.
- Assist with special event concept, design, and onsite execution for both Deloitte University property wide events and program specific special
- Facilitate and drive tasks to assist in the day-to-day operation of national planning at Deloitte University
- Identify opportunities for efficiencies and streamlining of processes
- Deliver exceptional client service with a consultative, solutions-oriented approach
- Forecast management andimpeccable data integrity in the MES meeting management system
- Strict adherence to meeting protocols (cost saving measures, risk policies, contract approvals)
- Liaison between meeting stakeholders, vendors, registration, procurement and operations teams; understand and interpret meeting objectives and navigate the firm’s event planning processes on behalf of the meeting sponsor
- Source appropriate venues on behalf of meeting stakeholders to capture vision and objective of event while also meeting budget, size and location/date requirements
- Source and secure vendors such as AV, catering, teambuilding, entertainment, décor, speakers, florist, photographer, etc.
- Procure necessary branded items or marketing collateral based on event needs.
- Serve as single point of contact for both the event sponsor and the hotel/event venue or Deloitte office operations team
- On-site support for designated meetings to ensure successful meeting execution
- Audit and submit all event related invoices for processing
The team
At Deloitte, Meeting & Event Services (MES) is the team of event professionals in planning and registration that provide strategic end-to-end solutions for all Deloitte meeting and event needs. The National Planning team within MES is focused on planning, managing and delivering live meetings at Deloitte University and programs throughout the country with a national audience. Our team members work collaboratively and apply their specialized knowledge and skills to think proactively to provide a holistic customer-centric “experience” for our Deloitte professionals, clients, and guests attending events.
Qualifications
Required:
- Minimum of 3 years of related meeting or special event experience in a corporate, hospitality, service-oriented or customer-centric environment
- High school diploma
- Strong technical skills, including proficiency in Microsoft Office
- Excellent written and verbal communication/interpersonal skills
- Excellent critical thinking, decision-making, and conflict resolution skills
- Effective problem-solving and negotiation skills
- Willingness to be cross-trained in other processes and areas for back-up support and assume additional responsibilities/projects when necessary and as appropriate
- Flexible schedule to include coverage of evenings/weekends as event needs dictate
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or at any time in the future
Preferred:
- Associate/bachelor’s degree
- Advanced experience in Microsoft Office applications
- Hospitality/corporate background with focus on event planning
