Position Summary

The DU Scheduling Senior Program Services Specialist works with the DU Scheduling team to maximize and optimize the use of Deloitte University for core learning, leadership, and client meetings through the appropriate vetting and assigning of all meeting space in our Infor SCS system. 

This position will be responsible for vetting all new short-term meeting requests for appropriate fit and availability as well as ensuring all existing programs have the best possible options for meeting space. Working collaboratively with the Business Advisors, Learning Delivery Teams and Meeting Planners, the Function Book Space Coordinator will assist with effective leader/participant networking for Client events, Labs, strategic meetings and Leader visits.

The DU Scheduling Senior Program Services Specialist is a trusted business advisor working collaboratively with the Meeting and Event Services team, DU Leaders, and Benchmark to ensure operational efficiency and client satisfaction.

Job Responsibilities:
  • Work effectively within the DU Scheduling Team while partnering with the DU Talent Development & Delivery Team, the MES Team, and the DU Operations Team (Benchmark) in the process of deciding and assigning the best space allocation plan.  
  • Provides solutions and negotiates meeting space conflicts and challenges with meeting planners to ensure all program requirements and expectations are met.
  • Understand and manage very detailed meeting space requirements for all meetings and events at DU, including pre-booking extra-curricular events with a superior customer service approach.
  • Engage with the learning and non-learning program meeting planners and sponsors to understand their requirements for effective program execution.
  • Assist in the leadership/client coordination effort by gathering necessary information about new leader/client visits as they are planned, and space is allocated.
  • Working daily with our meeting planning team to understand changing program requirements in detail and manage the analysis and input of those requirements into our property management system (Infor Sales and Catering) to enable the conference center to effectively operate the function space.
  • Build effective relationships with Meeting Planners, Business Advisors, BHI Conference Services Manager and Leadership Executive Assistants to ensure the best results for the processes and responsibilities noted are well executed.
  • Vets all new meeting requests within a 120-day time frame from the Business Advisors for appropriate fit from both a guest room and function space availability and offers alternative date solutions based on current inventory.  
  • Assigns all approved new meeting space function requests for new bookings based on available space.
  • Makes recommendations and implements updated meeting space assignments based on revised program requirements on a weekly basis.
  • Takes on additional project work (e.g. 60-day registration process implementation; program cut off memos) as required. 
  • Owns entire offsite housing process, including:
    • Local hotel availability and contracts
    • Guest room block updates in Infor SCS and Certain
    • 3 week-out planner updates with all communications to our customers (Deans Memo, Operational Logistics memo)
    • Operational planning including transportation and logistics as well as off site fiscal year budget
    • Final billing and reconciliation  
    • Initiates and maintains hotel vendor relationships including new properties
  • A minimum 3-5 years in the hospitality field required         
  • Excellent communication and negotiating skills (written and oral) with a consultative style
  • Strong attention to detail 
  • Proven problem-solving skills
  • Excels in a team-oriented environment  
  • Proficient in the Microsoft Office suite 
  • Knowledge and proficiency of hotel property management software (Infor/SCS) preferred 
  • Excellent customer service skills
  • Bachelor’s Degree preferred
